Job Title: Meeting & Event Planner II Reports To: Meeting & Event Planner Manager Location: Carlsbad, CA Austin, TX Remote, US Position Summary: Responsible for coordination, planning, logistics and execution of multi-day meetings, tradeshows, conferences and medical education events from small to medium scope. Monitors program budget and ensures events are cost effective and within budget. Key Responsibilities: Coordinates and manages activities involved in the planning and execution of all small to medium national and regional domestic trade shows, small meetings for internal and customers, live and virtually. Coordinates all logistic plans including event schedule, registration, managing speakers, set up, AV or other equipment needed, and anything else needed per the meeting requestor. Manage all communication pre-event, during the event and post event. Conduct any surveys post event for any measurements. Collaborates with marketing and marketing communications for messaging, and development of materials for all tradeshows and meetings requested whether they are live, virtual or hybrid. Coordinates packing, transportation and delivery of booth, products, and any supplies for tradeshows and meetings. Coordinates any safety procedures and supplies for all tradeshows and meetings. Secures appropriate staffing for all live and virtual tradeshows and appropriate representation for internal and customer meetings. Sources and researches site locations for small to medium meetings, procures all hotel rooms and meeting space needed. Monitors specific event budgets for the tradeshows and meetings performed to ensure they are under budget and reconciling all expenses in an appropriate time frame. Manages small tradeshow booth inventory with outside vendor and order any appropriate items or replacements needed. Manages contracts with outside vendors for facilities, transportation, lodging, meals, and any other activities that are approved and budgeted by the meeting requester. Manages ordering cadavers for any labs, billing and clean up needed when requested for cadaver lab activities. Adheres to all compliance policies and processes needed for any customer meetings and events. Provides logistics and coordination support to other team members and/or for larger events managed by the event planning team when necessary. Attend meetings for execution purposes when needed. Assist with the budgeting process. Responsible for individual events and tradeshow budgets. Minimum Basic Qualifications: Minimum of 3+ years of experience or equivalent with event and tradeshow experience. High School Diploma or GED is required. Travel Requirements: Must be able to travel up to 30% of the time; both domestic and international travel may be required. Typical work-related travel assignments range 1-7 days, and as such overnight, out-of-town stays are required. Desired Characteristics: Preferred to have a 2-4 year college degree but not required. Preferred knowledge of event planning process and using the Exhibitforce, ON24, Cvent, and other vendor systems. "Creating better together".
